Privacy Notice
WIFAX 2026 (West Indies Fashion Art and Architecture Exchange, including Kingston Art Week, Style Week Jamaica and Kingston Architecture Week) takes place in Kingston, Jamaica, from 20 to 25 October 2026. This notice explains what personal information we collect through this website, why, who sees it, how long we keep it and how to contact us.
Who is responsible
The data controller is Saint International JA Ltd, 39 Lady Musgrave Rd, Kingston 5, Kingston, Jamaica. Privacy contact: wifaxja2026@gmail.com, Attn: PRIVACY.
What we collect, and why
- Guest registration: name, email, phone, country and the other details you enter, such as the events you choose and any access needs. We use these to manage your registration, confirm or waitlist your places, and contact you about WIFAX 2026.
- School and group registration: the group leader's name and contact details, the school or group name, the number of students and adults, and an age range or grade. We do not ask for the names of students or any other personal details about them. We use these to place the group at events with limited space.
- Speaker and press applications: the same contact details, plus the biography, talk or outlet details you enter. We use them to assess your application and run the event.
- Exhibitor applications: contact details, biography, statement and details and images of your pieces. We use them so the curatorial team can assess your application and plan the exhibition.
- Emails we send: confirmations, updates and reminders about your registration or application. A record of these emails is kept.
- Optional announcements: if you tick the optional box, we also use your name and email to tell you about future WIFAX events, exhibitions and opportunities. This is never a condition of registering or taking part.
Who sees your information
Only authorised WIFAX team members, each limited to the records their role needs (for example, curators see exhibitor applications and the conference team sees speaker applications). Our website and email run on Google services (Firebase and Gmail), which process data on our behalf. Access to the database console is limited to one person, the Owner. We do not sell your information.
How portfolios, photographs and biographies may be published
- Exhibitor biographies, statements, portfolio links and images are seen by the curatorial team for selection. They are not published publicly without your consent.
- Selected exhibitor work is published in the public online catalogue only if you consent (see below). Any other promotional use needs your written permission for that specific use. WIFAX will ask you first.
- Speaker biographies may be published on the conference programme.
- Photography and video are captured at WIFAX events.
The public online catalogue
- If you consent, pieces the curators select for exhibit appear with title, artist or exhibitor name, year, medium, size, a reduced-size watermarked image and where the piece is mounted. No prices and none of your contact details are shown.
- The catalogue stays online indefinitely and may move to the WIFAX website (wifaxja.com) with the same protections and rules.
- Copyright stays with you or the owner. Images are protected as far as a website can: reduced size, watermarked, no download link, saving and copying blocked, bot checks, and hidden from search engines and AI crawlers. No website can fully prevent a screenshot or a photograph of a screen.
- If a visitor likes your work, they leave their name, email and telephone number. WIFAX tells you about the interest and introduces them to you only if you agree to the WIFAX introduction terms and to that introduction. If a sale follows within 12 months, WIFAX takes a commission as set out in those terms.
- You can change your answer at any time using the link in your email. If you withdraw, we remove your work from the catalogue within 5 working days. We cannot recall copies made before then.
Visitors who show interest in a piece
We use the name, email and telephone number only to record interest in the work and, if the artist agrees, to introduce you to the artist. We do not use them for marketing unless you tick the separate optional box. We keep them for 180 days after the event closes, then delete them. If we introduce you to an artist, we keep the record of that introduction for 12 months after the introduction and 30 days more, so that WIFAX can confirm any sale that results.
How long we keep your information
The Office of the Information Commissioner (OIC) confirms that the Data Protection Act, 2020 does not set one retention period for all personal data. The period must be justified and disclosed in the privacy notice. We have set the periods below for each type of information and give the reason for each.
The event closes on 25 October 2026. After these periods we delete the personal information and keep only anonymous totals (for example, how many people registered).
| Information | Kept for | Deleted by | Why we keep it for that long |
|---|---|---|---|
| Unsuccessful applications (declined) | 90 days after the event closes | 23 January 2027 | To answer questions or queries about the decision. |
| General guest registrations | 180 days after the event closes | 23 April 2027 | To handle attendance questions, safety or incident follow-up and any requests about the event. |
| Accepted participants (exhibitors, speakers and press) | 12 months after the event closes | 25 October 2027 | To complete the event: contracts, return or collection of work, credits, accreditation and any claims or queries arising after the event. |
| Visitor interest in a piece | 180 days after the event closes | 23 April 2027 | To let an artist follow up if they agree. Records of introductions that were made are kept for 12 months after the introduction, plus 30 days, to confirm any sale that results. |
| Optional announcements list (name and email only) | Until you unsubscribe | On your request | Only because you chose to hear about future WIFAX events. You can unsubscribe at any time. |
Work that you have consented to show in the public online catalogue stays there until you withdraw consent, even after your application record has been deleted.
Your choices and rights
You can ask to see the information we hold about you, to have it corrected or deleted, to withdraw a consent, or to stop announcements, at any time. Email wifaxja2026@gmail.com with PRIVACY in the subject line. We will respond promptly.
